Service Packages at the Counter

Sell a prepaid service package, redeem one prepaid visit against a counter bill, and recover safely if the screen cannot confirm a redemption.

A service package is a bundle of prepaid visits for one service. The cashier sells it once, then redeems one visit each time the customer comes back. This page covers the cashier screen on the counter. Service and package setup belongs to the owner in admin, and the services themselves come from Appointments & Bookings.

Screen: on the counter, open More on the left rail and select Service packages. It opens /packages. The button appears only when the store has the Appointments add-on (active, or with past booking history) or its counter layout is the service list. If you do not see it, the store is not set up for packages; see the troubleshooting table below.

Sell a package

Find the customer

Under Customer phone, enter the customer's mobile number and select Find customer. A wrong or unknown number shows Enter a valid customer mobile number. or No matching customer. Check the phone number. The customer must already exist; the screen has no walk-in option for packages. Once found, the customer's name and phone sit under the page title.

Pick a package

Under Available packages, each row shows the package name and its visit count, how long it is valid (Valid for N days) and its price. Select Sell package on the row you want. The button is disabled until a customer is found, and while the counter is locked, its add-on has ended or you do not have permission to take payment. If the list says No service packages are set up. Ask the owner to create a service and a package in admin. Creating appointment services needs the Appointments add-on. Existing package balances remain available., no package exists yet.

Take payment

The page is now Sell (package name) package and shows Customer pays and the package's visit count. Choose Cash, UPI or Card. Cancel goes back without selling. UPI is disabled when the store has no UPI ID saved in POS Settings. For UPI the page shows a payment QR for the exact amount; for card, take the payment on your own card machine. The text tells you what to check: Check the bank app for a successful (amount) payment. or Check the card machine for a successful (amount) payment.

Confirm what you actually received

On Pay for package, select Checked · received only after you have seen the money arrive. Select Not received if it failed (the screen then says Payment not received. The proposed purchase is retained; check the external result before retrying.), or Confirm later to leave the page without deciding. Reload payment rechecks the saved payment. A package that is not yet paid reads Proposed purchase retained · not active and no visits exist.

Receipt, first booking or undo

After payment the page is Package purchased: Paid, the package, and its remaining visits. Select Receipt for the Package receipt, Book first visit to book the customer straight away (shown only while visits remain), or Back to counter. Undo package purchase appears only to the owner, only for a short window after the sale, and only while the counter is unlocked.

Payment received but visits not shown yet

If the money is confirmed but the package is not issued yet, the screen says Payment received. Prepaid visits are awaiting confirmation. Reload the payment; do not collect money again. Select Reload payment. Never take the payment a second time; the first one is already recorded. If the status stays unconfirmed (Payment received · package issuance unconfirmed), ask the owner.

Redeem a prepaid visit

Open the customer's packages

On Service packages, find the customer by phone. Under Customer's packages each package shows N visits remaining, an end date (Until (date)) and a status such as Prepaid visits available, Package expired, All visits used or Purchase reversed · no visits available. Select Redeem visit on an active package that still has visits. For any other package, or if your role cannot take payment, the button reads View visit and only shows the details and history.

Check the service on the bill

The page is Redeem a prepaid visit. If the current counter bill is for this customer and already holds the package's service, it says One prepaid visit covers the service. Products are separate. Otherwise it says Open the customer's service bill to redeem this visit. In that case select Add service to counter bill to put the service on the bill. If it says Save or finish the current bill for its customer before adding this service., finish that bill first. Use Reload package to refresh the balance, or Ask owner if you cannot proceed.

Redeem one visit

Select Redeem 1 visit. The button is disabled unless the package is active with a visit remaining, the service is on the customer's bill, and the counter is unlocked with payment permission. Cancel leaves without redeeming.

Finish the bill

On Visit redeemed, the screen says Prepaid service redeemed. Products still use the normal bill payment. The prepaid visit pays for the service only; any products on the bill are paid the normal way. Select Add products / finish bill to return to the counter bill. The package's history then lists Visit redeemed.

Complete a bill that is fully covered

If the prepaid visit covered every line, the bill total is zero and there is nothing to collect. The counter then offers Complete bill instead of Cash, UPI or card. Select it to finish the bill with no tender; no cash line is recorded. If the bill still has products to pay for, the normal payment buttons stay. Details and the error to expect are in Complete a bill with nothing to pay.

If the screen cannot confirm the redemption

Redemption is written once. The screen is built so that a dropped connection or a failed reload never leads to a second visit being used.

  • Visit redemption is awaiting confirmation. Keep this customer and cashier; retry the same request. The first attempt may or may not have reached the server. The button becomes Retry same redemption. Use it; do not pick another package or customer. If the first attempt did succeed, you see Visit already used. This request already used one visit; the original result is kept and nothing is redeemed again.
  • Visit redeemed. Reload the bill before continuing. Do not redeem this visit again. The visit was redeemed, but the screen could not reload the updated bill. The button on Visit redeemed reads Reload bill and continue instead of Add products / finish bill. Select it; if the reload succeeds you return to the counter with the redeemed service on the bill. Do not select Redeem 1 visit again; the balance has already dropped by one.
  • Package balance changed. Reload the package and review the latest balance before redeeming. Select Reload package and read the new balance.
  • This change could not be confirmed. Reload before trying again. Reload, then check the package's history for Visit redeemed before doing anything else.

If this screen cannot load at all

If the whole screen fails, the counter shows This screen could not load. If a payment may have been collected, it adds: If a payment may have been collected, check its status before collecting again. Your saved bill and payment recovery records are kept. Select Reload and retry to try the screen again, or Back to counter. Your saved bill and payment records are not discarded by either button.
