Gift Cards & Store Credit

Understand the activation limit for Gift cards and store credit, set the terms for new cards, sell and check gift cards at the counter, pay a bill with gift credit, review what you owe and correct a balance.

Gift cards and store credit is a separate add-on. Once it is on, you set the terms for new cards in the admin panel, sell gift cards and accept them as payment at the counter, and review every balance customers hold. Editing the terms never changes a balance that already exists.

Where to find the owner screens

The gift-card owner screens open from Counter settings: as the store owner, go to Counter devices (/counter/devices), choose Settings, then use Gift cards and store credit in the Add-ons row (it shows On or Not on). You can also type the path, /settings/pos/gift-cards. Only the store owner or a store admin can open them; other roles see an access-denied screen. The counter controls appear inside /pos automatically once the add-on is on.

Online purchase and credit payment are unavailable

Customers cannot buy gift cards online or use gift or store credit to pay an online order or booking while those payment capabilities are disabled. Existing terms and balances remain readable where available. Show on the public page records your display preference; it does not enable customer purchase or credit payment. The staff-operated counter steps below are separate from online availability.

Activation is awaiting GST review

Gift-card activation is awaiting GST review. Do not follow a billing purchase or activation flow as a way to enable it now. The controls below describe existing enabled configurations and retained obligations only; they are not confirmation that new activation is available. Ask the owner about current availability before offering a new card. Online purchase and credit payment remain subject to their separate availability checks.

Set the terms for new cards

Open /settings/pos/gift-cards (page title Gift cards and store credit).

Availability

Selling gift cards and Accepting gift cards each show On or Off with a Turn on or Turn off button. Pressing it asks for a Reason; Confirm stays disabled until you type one. A banner then reads Selling is off. Customers cannot buy new cards. or Accepting is paused. Customers cannot pay with gift cards. If someone else changed the program in the meantime you see Someone else changed this. Reload to see the latest.

Preview

Press Preview what customers see to read the terms text customers are shown before they buy.

Review

Press Review changes. If an amount, limit, bonus or month count is invalid you see a message such as Enter at least one valid amount, or allow a custom amount. and nothing moves on.

Save

Check the summary and press Save terms. The page confirms Terms saved. These terms apply to new cards from now on.

A bonus needs a GST review on file first. Until one exists, Review changes is disabled and the page shows This bonus needs a GST review first. Save it as off, or finish the review.

Sell a gift card at the counter

The controls below appear in /pos only while the add-on is on. Next to the payment buttons you see Sell gift card and Check gift balance as two equal-width buttons side by side in one row, so a longer label in another language wraps inside its button instead of being cut off. Sell gift card is greyed out when the counter has no register attached; Check gift balance has no such restriction.

These steps record money staff have received at the counter. Online payment availability does not follow from a successful counter sale, a saved set of terms or an existing credit balance.

Choose the value

Open Sell gift card. A short note at the top says gift cards are vouchers with no GST at sale and that GST applies to the goods and services bought when the card is used as payment. It shows on the amount, review and payment steps only, and disappears once the gift is issued. Pick a chip under Quick amounts, or type Gift value when custom amounts are allowed. Above the shop maximum a message tells you the cap and the review button stays disabled. If selling is switched off, a notice replaces the form.

Add a recipient (optional)

Recipient name and Recipient phone are optional and used only for sharing. Gift card purchases do not earn loyalty points and have no postal delivery.

Review

Review gift card shows what the customer pays and what the gift is worth, including any bonus and the expiry. Press Continue to payment.

Take payment

Choose Cash, UPI received in shop account or Card payment confirmed. UPI and card need a Payment reference; Record received payment stays disabled until you enter it. A payer screenshot alone does not confirm UPI funds. A gift card cannot be bought with gift or shop credit.

Hand over the gift

When the payment is funded, Your gift is ready shows, in this order, Amount paid, Gift value (the worth of the card, which can be more than the amount paid when a bonus applies), Gift expiry (or Never) and Recipient (only if you entered one). When the sale returns a gift code, a read-only box labelled Gift card code · give this privately to the holder appears under the receipt note; long codes wrap inside the box. Below it are three buttons: Print opens the browser print dialog, Share uses the device share sheet, and a copy button whose label depends on what the sale returned.

The title, the facts list and the receipt note form a summary that scrolls in its own area. On a small or short screen, a soft fade at the bottom edge of the summary means there is more to read below; scroll the summary to reach the receipt note. The code box and the Print, Share and copy buttons stay fully visible and do not scroll with it. After you select the copy button (or if sharing fails), a short note appears over the bottom of the summary, not in the button row. It clears by itself after about 5 seconds, or at once when you scroll or tap the summary. The note confirms the copy:

The sale returnedCopy buttonNote over the summaryWhat goes to the clipboard
A gift codeCopy gift codeGift code copied. The gift sentence, then the code on a second line after the label Gift card code · give this privately to the holder
No gift codeCopy gift messageGift message copied. The gift sentence only

If sharing or copying fails you see Sharing failed. Your gift is still ready; try sharing again. You do not need to pay again. and the gift is still valid. Select Done to close the sheet; the button is disabled while a request is in progress or the payment is still being checked.

Print sends a separate voucher to the printer, not the counter screen. The voucher (A5) holds the title Your gift is ready, the line A gift for you from (store): (amount), Valid at (store), then Gift value (₹), Gift expiry (or Never) and Recipient (only if one was entered). Price paid, the receipt note and the buttons are not printed. If a gift code is present on the sale result, it prints in a boxed line labelled Gift card code · give this privately to the holder; otherwise no code line prints. In the print window, pick the printer and check the preview shows only the voucher.

If the payment is still being checked, the panel Gift payment is being checked appears with Check same gift payment; no gift is shown and you must not collect a second payment. If the payment fails, Gift payment failed says no gift was issued and no funds were collected. Retrying after a network drop reuses the same request, so the customer is not charged twice. The gift code is shown only on the ready panel and only when the sale returns one. If the box is not there, the sale did not return a code and the gift is delivered through the secure delivery step instead; no code line is printed or copied.

Check a gift balance

Open Check gift balance, enter the Gift code and press Check balance. You see Available now, In a payment (held by a bill in progress) and Balance. A wrong, already-claimed or replaced code shows This gift cannot be opened with no holder details. After too many attempts, checking pauses for a short while (Wait before checking another code). A customer name or phone number never authorises spending; ask for the gift code.

Pay a bill with gift or shop credit

Start from the bill

With items on the bill, choose Redeem gift card in the payment bar. The counter's action row also has a Redeem gift card action that opens the same flow. It is greyed out while the bill is empty, with the hint Add an item first; once the bill has an item the hint reads Sell or check and the action opens. Order takers do not see it.

Check the gift

Enter the Gift code and press Check gift. The sheet shows Bill due and Credit available now. Bill due uses the rounded counter bill total. For example, when round-off makes the bill ₹100, paying that ₹100 entirely with gift credit settles it without leaving a small unpaid balance. Review Bill due again if the bill changed; do not add the pre-rounding difference as another payment.

Choose the amount

Use credit amount (₹) defaults to the smaller of the bill due and the available credit; Use full credit resets it. You cannot enter more than either limit.

Cover the rest

If the credit is less than the bill, choose how to Pay the rest using: Cash, UPI or Card. Review gift payment shows Credit used, Credit left after payment and that using credit does not reduce the bill's GST.

Confirm

Press Confirm credit payment. Paid with credit means the bill is settled.

If the remaining payment is still being checked, Remaining payment checking shows and the credit stays held until it is confirmed; do not reuse that credit elsewhere. If the balance changed since you checked it, Balance changed before payment asks you to enter a smaller amount. If items or prices changed, Bill version changed asks you to Review current bill and start again. No payment is recorded in either case.

If the shop has switched Accepting gift cards off (see Availability), the sheet shows Gift redemption is paused for this shop, so a gift cannot pay for a bill right now. Take another payment method. Nothing is deducted from the card and no payment is recorded. Take another payment method, or have the owner turn Accepting gift cards back on at /settings/pos/gift-cards, then try the gift again. If the sheet cannot read the program, you see the general This gift cannot pay for this bill. message instead, which also appears when the card or the bill is not eligible for another reason.

After a bill is paid partly or wholly with gift credit, the Received amount in the paid screen's receipt panel includes the gift credit, together with cash, UPI and card.

See what you owe

Open /settings/pos/gift-cards/liabilities (What you owe customers). The summary shows Total balance, Reserved (held by bills in progress) and Expired. If the totals differ from the ledger a red notice tells you to contact support before relying on them. Under Accounts filter by Type (Gift card (code) or Store credit (customer)) and Status (Active, Frozen, Closed), press Apply filters, then Open on a row.

Account statement

/settings/pos/gift-cards/accounts/ followed by the account id shows Balance, Reserved, the status and the full Activity list with signed amounts and a use-by date when one is set. Load more pages through older activity. A frozen account shows a notice that the balance cannot be used.

  • Adjust balance: choose Add or Remove, enter Amount (Rs), a reason, Holder proof reference and Re-authentication reference, then Review adjustment and confirm. This posts a new adjustment line; history is never edited. Use it only to correct a mistake.
  • Replace lost code (gift cards with a code only): this button is always greyed out. Beside it the page shows Gift recovery is not connected yet. Refunds and replacement codes are unavailable. No new code can be issued for a lost card for now.

Refund exchange credit as shop credit

A customer can choose to keep unused exchange credit as shop credit. Only the customer can agree to this; a cashier cannot consent for them.

Open the exchange with unused credit

After a return creates exchange credit, the counter opens the exchange (see Returns & Exchanges). When credit remains, a customer is attached and the gift add-on is on, Offer shop credit appears. Select it. Choose refund shows Refund for the bill with its amount, and Keep original refund if the customer declines.

Ask the customer to choose shop credit

Select Offer shop credit. The counter says Never expires · use online or in this shop · no cash withdrawal. Ask the customer to choose shop credit in their signed-in account, as described in My Orders, Tracking & Returns, and to show you the authorization text.

Paste the authorization and confirm

Paste the text into Customer consent receipt, then select Confirm agreed refund. The counter shows Added as shop credit and Credit available after refund. Back to refund choice returns to the choice without adding credit. If the outcome is uncertain, select Confirm agreed refund again for the same request.

Recovery

Coming soon

Gift card recovery is not available yet. On the gift cards settings page (/settings/pos/gift-cards), next to the link to what you owe customers, the link reads Gift card recovery · Not available yet. It opens the recovery page (/settings/pos/gift-cards/recovery), which says Gift recovery is not connected yet. Refunds and replacement codes are unavailable. No refund or replacement code can be issued from there for now.

Troubleshooting

What you seeWhat to do
Redeem gift card is greyed out and reads Add an item firstThe bill has no items. Add an item and the action opens (the hint then reads Sell or check). It also stays greyed out while the bill is updating, while a payment is waiting on the device, and while new sales are paused: the counter add-on has ended (Counter add-on has ended. You can still see bills and undo.) or offline selling is blocked (for example Offline access has ended. or Offline limit reached.).
No gift buttons at the counterThe add-on is off or the plan could not be read. Check Settings → Billing & Plan → Add-ons, then reload /pos.
Review changes is disabledA bonus is switched on without a GST review. Turn the bonus off, or finish the review.
Gift cards status could not be checked right nowThe plan check failed. Nothing is assumed empty; try again in a moment.
The counter refuses gift cards because accepting is pausedThe sheet reads Gift redemption is paused for this shop, so a gift cannot pay for a bill right now. Take another payment method. Turn on Accepting gift cards under Availability at /settings/pos/gift-cards. This does not enable online credit payment.
Customers see terms or a balance but no online purchase or credit-payment actionOnline purchase and order or booking credit payment are unavailable. The public-page setting and a balance do not enable them. Ask the shop about another supported payment method. If an earlier payment is unresolved, wait for staff to confirm its final outcome before paying another way.
A customer lost a gift card code, or Replace lost code is greyed outReplacing a lost code and refunding a gift payment are not available yet; the button stays disabled and the page says recovery is not connected. See Recovery. Adjust balance is not a substitute for replacing a code.
Someone else changed thisReload the page to see the latest terms and apply your change again.
Use credit does nothingThe bill is empty or the gift code check failed. Add items and check the code again.
Sale stuck on payment checkingUse Check same gift payment. Do not enter the payment again.
The ready panel has no gift code boxThe sale did not return a code, so there is nothing to show, print or copy. Do not sell a second card; follow the secure delivery step for this gift. Print and Share still work with the gift sentence (Share sends the gift sentence), and the copy button reads Copy gift message.
You cannot see the receipt note, or the copied note vanishedThe summary above the code box scrolls on small screens; a soft fade at its bottom edge means there is more to read, so scroll it (a browser without scroll-timeline support shows no fade, but the summary still scrolls). The copied or sharing-failed note appears over the bottom of the summary and clears after about 5 seconds or when you scroll or tap the summary; select the copy button again to show it again.
The gift is issued but the "no GST at sale" note is goneBy design: that note shows only on the amount, review and payment steps. After issue, the receipt note on the ready panel carries the tax wording.
Done is greyed outA request is still running or the payment is being checked. Wait for the result, or use Check same gift payment.
Customer wants to refund a return to shop creditNot offered on the return screen itself. It is offered on the exchange screen when unused exchange credit remains; see Refund exchange credit as shop credit.
Offer shop credit is missingThe button needs the gift add-on on, a customer on the exchange, a remaining exchange credit above zero and no payout already recorded. A return without a bill can only be refunded in cash.
