Team & Resources

Add people, spaces, and equipment; link staff accounts; seed an initial shift; and control whether a resource can be booked online.

Resources are who or what an appointment is booked against. Use a Person for a team member, Space for a room or location, and Equipment for a limited asset.

Find a resource

Screen: In the classic admin sidebar, go to Sales & Orders → Appointments → Team & Resources. In the new admin sidebar, go to sell. → Appointments → Team & Resources.

Use Search team & resources and the type selector: All types, Person, Space, or Equipment. The table shows Name, Type, Linked user, Status, and Actions. Linked means the resource has a user ID; an em dash means it does not.

A Status filter beside the type selector offers Active, Inactive, and All statuses. Unlike Offerings, it starts on All statuses, so deactivated resources stay in the list until you pick Active. Choose Inactive to see only deactivated ones.

Spaces and equipment you add here can be attached to an offering as Required rooms / equipment, which stops that offering being booked while the room is busy; see Offerings.

The Manage availability action is available on every row. Store-level administrators also see Add team member, Edit, and Deactivate.

If your plan has a finite team-member allowance, store-level admins also see a banner above the table showing the running total, for example: 1 of 2 team members used from your plan. The numbers follow your active team members and plan allowance. At the limit it switches to 2 of 2 team members used — you've reached your plan's allowance. The banner's Upgrade plan button opens Billing & Plan at /settings/billing. It is hidden for the unlimited Max plan.

Add a person, space, or equipment

Open the dialog

Click Add team member. Despite the button name, the Type selector lets you create a Person, Space, or Equipment resource.

Choose how to handle the user account

Leave Link an existing user instead of inviting a new one off to invite a new staff user. The dialog renders these fields and controls in order: Link an existing user instead of inviting a new one, Name, Type, Email, Password *, Skill tags, Bookable online, and Set an initial weekly shift. The asterisk is rendered only on Password, although Name, Email, and Password must all have values before the new user can be saved. Password is the password for the new staff user account created with that email.

Enter the identity

Enter Name, choose Type, and enter the new staff user's Email and Password. Turn on Link an existing user instead of inviting a new one to hide Email and Password and show the free-text Existing user ID field instead. Choosing Space or Equipment hides the link checkbox, Existing user ID, Email, Password, and Skill tags.

Add matching hints

For a Person, optionally enter Skill tags as comma-separated values. These are stored as separate trimmed tags. Skill tags is not shown for Space or Equipment.

Set online bookability

Use Bookable online to decide whether this resource can be offered in the public booking flow. It is on by default for a new resource.

Seed the first weekly shift

Optionally turn on Set an initial weekly shift, then choose Day, Start time, and End time. The end must be after the start. If you skip this, creation still succeeds, but the resource is never available until you add a shift through Manage availability.

Save

Click Save. Cancel or the close icon leaves without saving. Both footer buttons are disabled while the operation is running.

Team-member allowance reached

If Type is Person and the store has used its plan allowance, Save does not close the dialog. A warning appears above the form fields with You have reached the limit for staff members in your current plan and an Upgrade plan button. The button opens Billing & Plan at /settings/billing. Space and Equipment never trigger this limit — only active Person resources use the team-member allowance.

Edit an existing resource

Click Edit on the row. In edit mode, Name and Type are both disabled and cannot be changed once the resource is created. Use this dialog to update Bookable online for any resource. For a Person, you can also update Skill tags. The field is not shown for Space or Equipment, and editing either type does not overwrite any previously saved tags. Link an existing user instead of inviting a new one, Existing user ID, Email, Password, and Set an initial weekly shift are not shown in edit mode. See Why can't I rename a team member? if you need to change a name after creation.

Do not use the resource dialog as a user-account editor

Linking or creating a staff user is part of initial resource creation. The resource list only shows whether a user is linked, and the current edit action does not edit that user's account details.

Deactivate a resource

Click Deactivate, then confirm Deactivate this resource?. The resource becomes unavailable for booking, but its linked user account is not changed. There is no reactivation control on this list in the current screen.

The team-member allowance comes from your plan

The number of active Person resources follows your plan's team-member limit: Free allows 1, Starter 2, Growth 6, Pro 15, and Max is unlimited. There is no separate team-member add-on to buy. See Plans, Add-ons & Team Allowances for the plan table, and Appointments Troubleshooting & Access for the at-limit recovery path.

Only resources with Type set to Person count against this allowance. Space and Equipment resources do not count and can still be added when the Person allowance is full.

Where each resource type can be selected

The booking staff pickers use people only. In New appointment, the compact New booking dialog, Reschedule appointment, and the offering form, staff selection lists active Person resources. Space and Equipment do not appear as booking staff in any of these selectors.

Leaving Anyone available selected also resolves to an eligible person; it does not assign a room or equipment item. By contrast, the compact composer's Block time mode uses a Resource picker and keeps all three types available, so you can reserve a person, space, or equipment item without creating a customer appointment.

Why can't customers choose a resource?

The customer Choose step lists active, online-bookable people only. Confirm that the Person is Active, Bookable online, selected on the offering, and has at least one weekly shift. A Space or Equipment resource is intentionally excluded, even when it is active and bookable online. If the offering has only one eligible person, the customer flow selects that person and skips the choice screen automatically. Any available is offered only when at least two eligible people are returned.
