Price Labels & Weighing-Scale Labels

Print barcode price labels on a thermal roll or an A4 sticker sheet, and set up weighing-scale barcodes so the counter reads the weight from a sticker.

Two owner screens handle shelf and pack stickers. Price labels prints barcode stickers with the item name and price. Scale labels lets the counter read the weight from the sticker your weighing scale prints for loose items.

Read this first

  • Both screens sit in the Purchasing menu, which only the owner login sees. Typing the addresses as a store admin works for viewing and printing, but only the owner can change the weighing-scale switch.
  • Printing uses your browser's print window. There is no direct printer pairing.
  • In the print window, set the paper size the page shows under Print labels and set margins to None.

Screen: classic sidebar Purchasing → Price labels; new sidebar, the Purchasing group, Price labels; or Counter devices → Settings → Buying & stock → Price labels; or /settings/pos/labels. The title is Print price labels. In the new layout the breadcrumb at the top names the page Price Labels, under Counter Sales.

Find the items

Type a name, item code or barcode in Find an item. Up to 8 matches show; select Add beside the one you want. An item with types (variants) shows each type as its own row. If nothing matches the page says No items match.

Set the copies

Under Labels to print, set Copies for each item (1 to 2000). Remove takes it off. An item with neither a barcode nor an item code shows No barcode or item code, so this one cannot be printed. and is left out; the page counts these as Left out because they have no barcode or item code: N.

Choose what shows

Under Show on the label tick Shop name, Item name and Pack size as needed. Under Price on the label choose No price, Selling price or MRP. MRP prints as MRP (amount) (incl. of all taxes).

Pick the label type

Under Label type choose Label roll (thermal printer) or A4 sticker sheet. See the two tables below.

Check the preview

Preview shows how the labels fall, for example 12 labels on 12 pages. It draws the first 4 pages and says Showing the first 4 pages. All (N) pages will print. when there are more. With no items picked it says Pick at least one item to see the preview.

Print

Select Print labels. In the browser print window pick your label printer; the paper size must read what the page tells you under the button (In the print window, pick your label printer. Paper size should read (size) and margins should be None.).

Label roll (thermal)

ControlEffect
Size50 × 25 mm, 38 × 25 mm, 50 × 30 mm, 100 × 50 mm or Custom
Label width (mm) / Label height (mm)Appear with Custom; each must be 10 to 200 mm
Space between labels (mm)Leave at 0 unless your printer needs extra space after each label. 0 to 50 mm. The page height becomes label height plus this space

Each label is its own page on the roll.

A4 sticker sheet

ControlEffect
Size65 per sheet (38.1 × 21.2 mm), 40 per sheet (45.7 × 25.4 mm), 24 per sheet (63.5 × 33.9 mm), 21 per sheet (63.5 × 38.1 mm) or Custom
Label width (mm) / Label height (mm)Appear with Custom; each must be 10 to 200 mm
Labels across / Labels downAppear with Custom; whole numbers from 1 to 30
Top margin (mm) / Left margin (mm) / Gap across (mm) / Gap down (mm)Appear with Custom; each from 0 to 100 mm
Start at label numberUse this to finish a sheet you already used. Labels are numbered left to right, top to bottom. Must be between 1 and the labels per sheet

The sheet presets are approximations of common sticker sheets. Print one page on plain paper first and hold it against the sticker sheet before using real stickers.

Which barcode prints

  • A saved barcode that is a valid EAN-13 prints as EAN-13.
  • Any other saved barcode prints as Code 128.
  • With no barcode saved, the item code (SKU) prints as Code 128, and the row says No barcode saved. The item code is printed as the barcode.
  • With neither, the item is left out (see above).

The same rule applies to a plain product (its own barcode) and to a product type (the type's own barcode).

Two cases catch people out:

  • A product type with no barcode of its own does not borrow the main item's barcode. It prints its own item code instead.
  • A barcode that contains anything other than plain keyboard characters (for example letters of another script) cannot be drawn as a barcode, so the item code prints in its place.

Turn on weighing-scale barcodes

Use this only if you weigh loose items on a scale that prints a sticker and you want the counter to read the weight from that sticker. It is not a scale connection: the counter still cannot read a scale's weight directly (see Scanners, Printers & Scales).

Screen: classic sidebar Purchasing → Scale labels; new sidebar, the Purchasing group, Scale labels; or Counter devices → Settings → Buying & stock → Scale labels; or /settings/pos/label-scale. The title is Weighing-scale barcodes. In the new layout the breadcrumb names the page Scale Labels, under Counter Sales.

The page explains the sticker format, which is fixed by the system and cannot be changed: 13 digits, starting with 2 and one more digit, then a 5-digit item number, then the 5-digit weight in grams, then a check digit. The weight comes from the sticker. The price always comes from your item.

The 5 weight digits always carry grams. Choosing Kilograms below does not change the sticker layout: it only tells the counter that the item is sold per kilogram, so it turns the grams on the sticker into kilograms. A sticker for 1.250 kg of a kilogram item therefore carries 01250.

Switch it on

The page reads Weighing-scale barcodes are off. Select Turn on. It saves at once and says Saved. directly under the switch. To stop reading weight stickers later, select Turn off.

Fix a prefix conflict if it refuses

If some items already have an ordinary barcode starting with 2, the page says N items already have a barcode that starts with 2. Change those barcodes first, then turn this on. With exactly one such item it reads 1 item already has a barcode that starts with 2. Change that barcode first, then turn this on. Those barcodes would be mistaken for scale stickers. Change them on the item pages and select Turn on again.

Link each item number to an item

Under Link an item number to an item, choose the Item, set Sticker starts with (20 to 29), enter the 5-digit Item number your scale prints, and set Weight on the sticker is in to Grams or Kilograms. Select Link item; you see Linked. at the bottom of that same card.

Test a sticker

Under Test a sticker type or scan the 13 digits and select Check. A good sticker shows Valid. Item number (code), weight (N) g. and Linked to: (item), or This item number is not linked to any item yet. That second line is also what you see when the switch is off, so it does not tell you which of the two is wrong. If it says not linked, first look at the top of the page: it must read Weighing-scale barcodes are on. Only then check the link under Link an item number to an item.

Where the messages appear

Messages about the switch (Saved., the prefix conflict, Only the shop owner can change this.) show directly under the switch. Messages about linking (Linked., the refusals in the table below, and the Replace link prompt) show inside the Link an item number to an item card. Starting one action clears the other's message, so after you link an item and then use the switch you see only the switch's message, and the other way round.

Which items can be linked

Only an item sold by weight, in the same unit you pick for the sticker: an item sold in grams takes Grams, an item sold in kilograms takes Kilograms. A piece-priced item, a service, or a kilogram item linked with Grams is refused. When the server says why, the page tells you what to fix on the item; otherwise it shows the general sentence in the fourth row below.

What you seeWhat it means
A service cannot be linked to a weighing-scale sticker. Choose an item you weigh. The chosen entry is a service.
This item is not sold by weight. Open the item, set it to be sold by weight in kg or g, then link it again. The item has no weight unit at all. Fix it on the item page, then link again.
This item is measured in a unit that is not a weight, such as pieces or litres. Change its unit to kg or g, then link it again. The item's unit is a count or a volume.
This item is sold in (unit), but the sticker unit you picked is (unit). Set the weight unit to (unit), or change the item's unit.Unit mismatch. The sentence names both units, for example This item is sold in kg, but the sticker unit you picked is g. Either change Weight on the sticker is in to the item's unit, or change the item's unit.
This item's weight setup is incomplete. Open the item, fix its weight unit and price, then link it again. The item's weight unit or price is not valid yet.
This item is not sold by weight in the unit you picked. Choose an item sold by weight, and set the weight unit to match how it is sold. The general sentence, shown when the server refuses on the unit but does not give a cause.
Choose an item. The sticker must start with 20 to 29 and the item number must be 5 digits. The form is incomplete or the prefix or number is the wrong length.
That item is no longer available. Reload the page and choose again. The item was deleted or archived.
This item cannot be linked to a weighing-scale sticker. Choose an item you sell by weight.Any other refusal from the server.
This item number is already linked to another item. Replace it?Select Replace link to move the number to the new item, or leave it. See the replace steps below.
This was changed somewhere else. The latest is shown. Please try again.Another login changed the setting first. Re-apply your change.
Only the shop owner can change this. You are not signed in as the owner.
Could not save. Please try again.Retry in a moment.

An item number can point to one item only. If you link a number that already belongs to another item, nothing changes yet: a prompt appears inside the Link an item number to an item card with This item number is already linked to another item. Replace it? and a Replace link button. Select Replace link to move the number to the item you chose; you see Linked. If you do not want to move it, leave the prompt alone and change the Item number or the Item instead.

Test a sticker refuses a bad code with the reason: A weighing-scale barcode has exactly 13 digits., It must start with 2., The last digit does not match. The sticker may be misprinted., The weight on this sticker is zero., or This barcode cannot be read.

Troubleshooting

QuestionAnswer
Why was my scale label link refused?Read the sentence inside the Link an item number to an item card. A service cannot be linked... means pick a goods item. The next three (not sold by weight, measured in a unit that is not a weight, sold in (unit), but the sticker unit you picked is (unit)) tell you which of the item's unit or the Weight on the sticker is in choice to change. weight setup is incomplete means fix the item's weight unit and price. That item is no longer available means the item was deleted or archived.
Why can't I turn on weighing-scale barcodes? Some items already have an ordinary barcode starting with 2; the page counts them (1 item or N items) and asks you to change those barcodes first.
Why don't I see Price labels or Scale labels in the sidebar? The Purchasing menu is only for the owner login on a plan with the counter module. See Find the Purchasing menu.
The counter does not read the weight from my sticker.Check in this order: the top of the page must read Weighing-scale barcodes are on; then the item number must be linked under Link an item number to an item; then your scale must print the fixed layout above. Test a sticker says not linked in both of the first two cases, so check the switch yourself first.
My label prints at the wrong size or offset. In the print window the paper size must match the hint under Print labels and margins must be None.
An item is missing from the printed labels. It has no barcode and no item code; see Left out because they have no barcode or item code.
The barcode on a plain product is the item code, not its barcode. The product has no barcode saved. Add one on the item page, then reload this screen.
