Get Started with Point of Sale

Review counter access, connect an eligible device through cashier setup, and sign in with an existing staff PIN.

Set up your counter on the device you will use for billing. POS uses your store's products, customers and staff; you do not need a second catalogue or a second appointment staff record.

Activate counter access

Screen: In the classic sidebar, open Counter devices → Counter devices. In the new sidebar, choose Counter devices in the counter group. Both open /counter/devices. These admin entries are available to store-level administrators. You can open the cashier workspace directly at /pos.

Review the store's access

Open Billing directly to review counter access. In the classic sidebar, open Settings → Billing & Plan → Add-ons. In the new sidebar, open Billing & plan in the finance group, then Add-ons. You can also go directly to /settings/billing?tab=addons. Review the available add-on, billing cycle, quantity and payment before purchasing; see Billing & Finance. Contact the owner if counter access remains unavailable. Opening POS does not activate a subscription.

Prepare your shared catalogue and team

Set up saleable products and stock in Products, Inventory & Categories. If staff also deliver services, use Team & Resources to maintain their existing appointment identity. Counter staff access must already be provisioned.

Owner tools for devices and staff

On Counter devices the owner can select Approve on a pending device, or Open POS on this device and Approve and open POS to connect their own. On Cashier access the owner can use Manage staff PIN; Assign existing staff is shown but greyed out because assigning counter access is not available yet. The Settings tab opens Counter settings. Each button is disabled when the add-on is inactive or your admin role lacks that permission. Full steps: Counter Devices & Cashier Seats.

Connect through the cashier setup screen

Screen: Open /pos directly in either admin skin. An unconnected browser opens Set up this counter at /pos/bind. Existing approved devices go to cashier sign-in instead.

Authenticate the account

Enter Mobile number (the field shows the example 98765 43210) and select Send OTP. A grey +91 sits at the left of the field while what you have typed can still be an Indian mobile number: while the field is empty or the number starts with 6, 7, 8 or 9. It is only a label. It is not added to what you type, and it disappears when you start with another digit, 0 or a + country code. Send OTP stays disabled until you have typed at least 10 characters. Enter the six-digit code in Enter the 6-digit OTP, then select Verify. Send OTP again becomes available when the resend countdown ends. Alternatively, select Use email instead, enter Email and Password, then Sign in. Use phone instead returns to mobile authentication.

Choose your store

If more than one eligible store is returned, select its name on Choose your store. A single store is selected automatically. Check the store carefully before connecting the device.

Name the device and choose a counter

Enter Name of this counter device. Under Which counter is this?, choose an existing available counter. A locked choice is disabled; an active device is marked In use on another device. When offered, Add a new counter opens Counter name. A device name and, for a new counter, a counter name are required before Set up this counter becomes available.

Check approval before signing in

Select Set up this counter. An approved result opens Who is billing?. Otherwise you see Waiting for approval. POS checks automatically every five seconds. Check now refreshes approval status, while Use a different account starts over. Back to Admin stays in the header while you wait. The Signed in to Admin? Set up this counter there link is only on the mobile-number and email steps of Set up this counter, not on Waiting for approval. If it stays on Waiting for approval, ask the owner to select Approve on that device in Counter devices; see Counter Devices & Cashier Seats.

Connect a counter after its shop goes live

Screen: as the owner, use /settings/pos/locations (Stock locations) to check the active shop and its Counters: listing, then /settings/pos/cutover (Activate one location) to review and activate that shop. Follow the location activation steps for Location, Reviewed quantity, Safety stock, the acknowledgement and Activate this location. Other shops can keep their current stock settings while this one is activated.

  1. Check that this counter belongs to the intended active location. No counter assigned or Register bindings need review. needs owner attention before relying on that shop's stock. The Stock locations listing is a check of the assignment; naming a browser device does not choose or move its inventory location.
  2. Return to /pos/bind, authenticate, choose the store and the intended counter under Which counter is this?, then select Set up this counter. Keep the same register when recovering its existing work. The register's stock assignment and location version must agree.
  3. If setup reports The shop stock setup changed. Refresh the counter list, choose the counter again, then try setup. If it still fails, ask the owner to check its shop mapping., select Refresh counter list, choose the counter again and retry Set up this counter.
  4. If setup instead says Ask the owner to assign this register to a location in Settings → POS → Locations, then try setup again., the register you chose is not assigned to any stock location yet, so setup stops. Your sign-in is not the problem: ask the owner to open /settings/pos/locations, assign that register to its shop (see Take one location live), then return to /pos/bind and select Set up this counter again.
  5. If setup says Offline billing is unavailable for this location stock setup. Ask the owner to check Settings → POS → Offline preparation. Connect to the internet to use this counter., the store keeps separate stock per location, which does not support offline billing yet. Keep the counter online; the owner can read the reason under Settings → POS → Offline preparation (see POS Settings).
  6. Finish device approval if required, then sign in with your staff PIN. An active shop does not replace device approval or the POS add-on, and preparation or rebinding requires connection.

Why does setup still fail after refresh? Ask the owner to check the register's active-shop assignment and stock activation. This setup screen does not offer a shop-mapping editor. Preserve waiting bills and payment recovery before any rebind; do not clear storage or choose another register merely to bypass the warning.

Sign in and start billing

Choose who is billing

Open /pos. Who is billing? shows the line Tap your name, then enter your PIN above a grid of staff tiles, three across (two across on a phone). Each tile has a round badge with the person's initials (the first letter of up to the first two words of the name), the name, and their role: Owner, Manager, Cashier or Order taker. Tap your tile. The heading becomes your name followed by Enter your PIN, with the on-screen number pad below: type the PIN on the pad (or your keyboard). A PIN is six digits and the sixth digit signs you in straight away; the Continue button under the pad submits the same six digits. The key with the backspace symbol (named Delete) removes the last digit; Backspace on a keyboard does the same. Back returns to the person list.

A tile whose role line reads Locked has a small padlock, is greyed and cannot be tapped. Ask the owner; for a PIN locked after wrong attempts the reset is in the troubleshooting table below. If no tiles appear and the screen says No cashiers set up yet. Add them in Admin → Counter devices → Cashier access, no staff member has counter access for this counter yet. Assigning counter access from Cashier access is not available yet, so the owner signs in instead. On a phone, the counter's name appears as a small line above the heading, because the header drops it to keep one row.

There is no Forgot PIN link. The PIN screen offers no way to reset a PIN yourself. Only the owner, or another admin who can open Counter devices, can set a new one, in Admin: open Counter devices → Cashier access, select Manage access on the person's row, then Manage staff PIN. Type New 6-digit PIN (exactly six digits) and select Reset staff PIN; you see Staff PIN updated. The note on that screen warns that this is the person's shared staff PIN, so it also changes their appointment access. If Manage staff PIN is greyed out, that person has no counter access set up yet. Assigning counter access from Admin is not available yet, see Counter Devices & Cashier Seats. Give the new PIN to the cashier in person; they type it on the pad as usual.

If your account is already signed in on another counter, POS shows This cashier is signed in on another counter. and, right under it, the rule: A counter can be signed out only after it has been idle for 10 minutes. Select Sign out other counter and continue to take over that sign-in. Taking over only works once the other counter has had no activity for 10 minutes.

If that counter was used more recently, the takeover is refused and a red notice appears: That counter was used in the last 10 minutes, so it cannot be signed out yet. Sign out on that counter, or ask the owner to open Admin → Counter devices and choose “Sign out this counter”. The takeover button is then disabled for 60 seconds, with Try again in and a countdown beside the notice. Cancelling, going back, or any other sign-in error clears the notice and the countdown.

You then have three ways forward:

  • Sign out on the other counter, if you can reach it.

  • Wait. Once the other counter has been idle for 10 minutes and the 60-second countdown has finished, select Sign out other counter and continue again.

  • Ask the owner to sign that counter out from the admin app. This works at once, without waiting for the 10 minutes. The owner does this:

    1. Open Counter devices → Counter devices in the classic sidebar, or Counter devices in the new sidebar. Both open /counter/devices.
    2. In the Device column, find the row for the counter the cashier is signed in on. Only rows whose Status is Approved have the action.
    3. Select Sign out this counter in the Action column.
    4. The row asks to confirm: Sign out (device name)? Whoever is signed in on this counter is signed out right away and the device is removed. A removed device cannot be approved again; to use this counter again, connect a device again from this screen. A device with no saved name shows Unnamed device in place of the name. Select Sign out and remove device, or Cancel to leave everything as it was.
    5. You see Counter signed out. The device was removed. The cashier on that device is signed out immediately and the row now reads Access removed.

Only an admin whose role can manage counter devices sees Sign out this counter. After the removal, that counter cannot be used again by approving the old device: connect a new device from the same screen (see Counter Devices & Cashier Seats). Then sign in normally on the counter you wanted.

Count a drawer you are taking over

With a cashier PIN, if POS opens Count the cash before you start, verify the named cashier, counter and date. Enter Cash received in drawer · required, then select Start counter. Enter a non-negative amount with at most two decimal places. Zero is valid and becomes the next opening float exactly as entered. Handover requires a count even for an incoming owner; the optional day-close count does not apply here. Sales stay blocked until the handover is recorded. Start counter is disabled while offline, locked, busy, without a current session or with an invalid amount. Order takers do not use this cash handover.

Make the first sale

Add items and complete payment using Counter Billing & Tenders. A register's first sale opens its cash session automatically, so there is no separate open-register step before you start selling. After the day's register has been closed, the top of the counter shows Counter closed, the line Your next sale starts a new register session. and a View day summary button. There is no Open register button and no manual open step: View day summary only takes you to Today for this counter, and the next sale you take opens a new register session by itself. The notice goes away once the counter has an open register session again (see Reports & Day Close).

Lock the counter when you step away

Select Lock. Unlock with the same cashier's PIN, or select Switch cashier to return to sign-in. POS also locks after ten minutes without activity, or when you return after hiding the app for more than one minute. Locking does not close the day's cash session.

Move between the counter and Admin

The counter at /pos is a separate screen from your Admin panel. You can go back to Admin from every step of setup and from the signed-in counter, and you can set a counter up from Admin instead of on the counter device itself. Labels below follow the counter's language; the English wording is shown.

Go back to Admin before you are signed in

Screen: /pos setup and sign-in screens. The teal header carries the BillionBiz wordmark on the left, the counter's name beside it once this device knows which counter it is (not on a phone), and on the right a Back to Admin button and the language picker. They appear on Set up this counter, on Who is billing? / Enter your PIN, and on Waiting for approval. On a phone (under 600 px wide) Back to Admin shrinks to a round arrow button and the language picker shows a globe with the two-letter code of the current language (for example EN); both still work as before. The picker lists English, Hindi, Tamil, Telugu, Kannada, Marathi, Bengali and Gujarati, each in its own script, and applies to the whole counter, including the sign-in cards. Once you are signed in, change the language from More instead (see Use the More menu).

Select Back to Admin

It is a plain link, so the whole page reloads into Admin. Nothing is signed out or changed, because you had not signed in to the counter yet.

Land on the page you came from

You return to the Admin page that opened the counter, for example Counter devices after Open existing POS. If the counter cannot tell where you came from, you land on the Dashboard. The answer is remembered for this browser tab, so reloading the counter does not change where Back to Admin goes.

Set up a counter from Admin instead

Screen: on Set up this counter, on the Mobile number and Email steps, a link reads Signed in to Admin? Set up this counter there. It is not shown on the one-time code, store or device steps.

Select Signed in to Admin? Set up this counter there

It opens Counter devices at /counter/devices in Admin (classic sidebar: Counter devices → Counter devices; new sidebar: Counter devices in the counter group).

Connect this device from Admin

Select Open POS on this device, enter Device name, choose a Counter, then select Approve and open POS. The device is approved at the same time, so the counter opens straight at sign-in with no one-time code and no Waiting for approval step. Full steps and the disabled-button rules: Counter Devices & Cashier Seats.

The link does not sign the counter in as your Admin account: there is no Continue as option on the setup screen. You either use the link above, or authenticate on the counter with your mobile number or email as described earlier.

Leave a signed-in counter for Admin

Screen: signed-in counter at /pos. More on the left rail opens the panel; Exit to Admin is pinned at the bottom of the More panel, under its own divider and always on screen: when the panel is taller than the screen, the entries above it scroll while Exit to Admin stays put, and a soft fade over the footer shows there are more entries below. It is offered to every role that can sign in to the counter. Owner task pages that are already inside Admin do not show it.

Open More and select Exit to Admin

If the bill on screen has no items and no bills are waiting to be sent, the counter leaves at once (go to step 3).

Read the Leave the counter? box when it appears

It appears only when the bill you are ringing up has items, or when bills made offline have not been sent yet. It can show up to three lines: The bill you are ringing up stays saved on this device. Sign in with your PIN to carry on., N bill(s) have not been sent yet. Open this counter again while online to send them., and always The counter locks. Your register stays open. Two buttons: Stay at the counter (the one focused when the box opens, and what Esc does) closes the box and changes nothing; Lock and go to Admin leaves.

Arrive in Admin

The counter locks and signs you out of this device, asking the server to free your cashier sign-in (it waits at most about a second and a half, and skips the request if the device is offline), then loads Admin at the page described under Back to Admin above: the Admin page that opened the counter, otherwise the Dashboard.

What stays as it was:

  • The register is not closed. Exit only locks the counter, like Lock. The day's cash session stays open, so close the day from Reports & Day Close when you are done trading.
  • The bill you were ringing up stays saved on this device. Open /pos again, sign in with the same cashier's PIN on the same device and register, and the bill comes back. A different cashier signing in does not get it. If that bill was already settled or taken off the saved list from elsewhere in the meantime, it is not brought back.
  • Offline bills keep waiting. Open the counter again while online and they are sent.

Not built

Exit to Admin does not keep you signed in as an Admin user on the counter, and the counter does not offer to continue as an admin. Signing back in to the counter always needs the cashier's PIN.

Understand the day boundary

Restaurant business-day totals use a default reset of 04:00 in the store's timezone. For example, a restaurant sale at 01:30 belongs to the previous business date. That boundary does not close an occupied table or erase a bill.

Cash-register sessions have a separate roll setting, whose default is 03:00. Do not assume the restaurant reset and the cash-session close are the same event. Review the business date and close record in Reports & Day Close, especially for overnight trading.

Troubleshooting

What you seeWhat to do
That counter was used in the last 10 minutes, so it cannot be signed out yet. (takeover refused)The other counter has been active within the last 10 minutes, and a counter can be signed out only after 10 idle minutes. Sign out on that counter, or ask the owner to open Counter devices, find the device and choose Sign out this counter, then Sign out and remove device. The button re-enables after the 60-second Try again in countdown; a retry before the other counter has been idle for 10 minutes is refused again.
Cashier is told the counter is in use, and there is no Sign out this counter buttonSign out this counter appears only on rows whose Status is Approved. A row that reads Needs approval has Approve, not a sign-out action, and an Access removed row has no action at all. The button is also hidden if your admin role cannot manage counter devices, so ask the owner or an admin who can. If nobody can sign the counter out, the cashier can wait until the other counter has been idle for 10 minutes and use Sign out other counter and continue. Signing out removes the device for good; to use that counter again, connect a device from Counter devices.
No cashiers set up yetNo staff member has counter access yet. Assigning counter access from Cashier access is not available yet, so the owner signs in instead; see Counter Devices & Cashier Seats.
Approve and open POS is disabledThe add-on is inactive, your admin role cannot manage devices, or the device name is empty. Fill in Device name and check the add-on in Billing.
Ask the owner to assign this register to a location in Settings → POS → Locations, then try setup again. The register is not assigned to a stock location. The owner assigns it under Locations, then you select Set up this counter again. See Connect a counter after its shop goes live.
OTP or email sign-in rate limitedWait for Try again in…; do not resend continuously.
Counter or seat limit reachedReview the displayed used/limit counts with the owner in Billing.
PIN locked. Try again in…Wait for the displayed countdown. Ask the owner to reset it: Cashier access then Manage access then Manage staff PIN, enter New 6-digit PIN and select Reset staff PIN.
The action did not finishOpen /pos or Billing directly as appropriate. Do not treat the admin action as done until you see its success message, such as Device approved.
I left the counter with Exit to Admin: where is my bill?It is saved on that device. Open /pos on the same device, sign in with the same cashier's PIN and the bill returns. Another cashier does not see it. Bills made offline that were not sent yet send once the counter is open and online. See Leave a signed-in counter for Admin.
Back to Admin took me to the Dashboard, not the page I was onThe counter only knows your Admin page when it was opened from one (for example Open existing POS). A typed address, a bookmark, another site, an Admin sign-in page or a browser that hides the previous page all fall back to the Dashboard, and the first answer is kept for that tab. Open the counter from the Admin page you want to return to, in a new tab.
Exit to Admin is missing from More, or my cashier cannot see itIt is not limited by role: every signed-in cashier, manager, owner and order taker sees it at the bottom of More. Scroll the panel or look for the line under the last divider; on a short screen it is pinned there while the rest scrolls. It is not on the setup or sign-in screens (use Back to Admin in the header there) and not on owner task pages that are already inside Admin.
The Leave the counter? box did not appearBy design: it only appears when the bill has items or bills are waiting to be sent. With nothing to protect, Exit to Admin leaves at once.
The sign-in screen shows no name tiles, or one tile is greyed with a padlockNo tiles: the owner has not added staff (Counter devices → Cashier access). Greyed with a padlock and Locked: that person cannot be selected; for a locked PIN the owner resets it with Manage staff PIN (see PIN locked above).
Counter sales are pausedReview Billing. Past bills and obligations remain accessible; a historical receipt is not evidence that new sales are enabled.

Continue with Orders, Refunds & Carts for online orders and Appointments & Bookings for service setup. These flows share your store's customer and product records.

Cashier capability and loyalty access

Your current cashier PIN session can read the POS capabilities and the selected customer's loyalty balance and consent needed for billing. You do not need to sign in as an owner just to read those counter details. This read access is tied to your store, register and device; it grants no owner settings, programme changes or broader admin access. Retained historical access after the add-on lapses does not enable new sales.

Why do these counter details fail to load? Reconnect, confirm the correct approved counter and store, then lock and sign in again with your PIN if the session expired. Do not treat an unreadable balance as zero or an access error as consent. Ask the owner if the refusal persists; follow loyalty redemption for the visible balance and consent messages.
