Invoice Numbers per Counter

Turn on separate bill numbers for every counter in your store, read what each counter row and blocker message means, and fix the cases where the button is missing.

Invoice numbers per counter is the owner's screen for switching your store to a numbering scheme where each counter issues its own run of bill numbers, so two counters never issue the same number. You review the store prefix and each counter's example number, then turn the scheme on once for the whole store.

Before you start

  • Only the store owner (the store super-admin role) can open this screen. Anyone else who opens it sees Access Restricted and Your role does not have permission to access this page. Please contact the Store Super Admin.
  • Turning it on applies to every counter in this store at once. There is no per-counter switch and no control on this screen to turn it off again.
  • The Store prefix is read-only here. It comes from your store branding settings.
  • Returns are numbered separately from bills (the screen says Returns are numbered separately from bills.).

Open the screen

Screen: In the classic sidebar open Counter devices → Counter devices; in the new sidebar choose Counter devices in the counter group. Select Settings in the row of tabs under the title to open Counter settings (/settings/pos). In the first group of buttons select Invoice numbers per counter. That group appears only for the store owner. You can also go to /settings/pos/register-series directly.

While the page loads you see Loading…. If it cannot load you see This could not be loaded. Nothing was changed. with a Try again button; select it to load again.

What the screen shows

Under the title Invoice numbers per counter and the line Each counter gets its own bill number series, so two counters never issue the same number. the page shows these parts from top to bottom.

PartWhat it tells you
Status lineOne of Ready to turn on, In use, Not ready to turn on or Waiting for the move to finish. The first two are shown in a positive style, the other two as a warning.
Store prefixThe prefix your invoice numbers will start with. It reads Not available yet if none can be used yet. A note underneath says The prefix comes from your store branding settings.
Why this cannot be turned on yetAppears only when something blocks turning it on. Each reason is a line in the list (see the table below).
Counter listOne row per counter: its name, a line under the name, an example bill number and a status chip.
Returns noteReturns are numbered separately from bills.

If the store has no counters the list is replaced by No counters yet.

Turn on separate invoice numbers

Check the status and prefix

The status line must read Ready to turn on, no Why this cannot be turned on yet list may be showing, and Store prefix must show the prefix you want. Look at each counter's example number to see what its bills will look like.

Select Review and turn on

The button appears only when the status is Ready to turn on and nothing blocks it. It opens a review: Turn on separate invoice numbers for every counter in this store, using prefix followed by your prefix, then Assigned counter codes cannot be changed later.

Confirm with Turn on

Select Turn on to confirm, or Back to leave without changing anything. Both buttons are disabled while the save is running. On success you see Saved. This store now uses separate invoice numbers for each counter. and the status line changes to In use.

What cashiers and customers see

Once the status reads In use, the store uses separate invoice numbers for each counter, so the same number is never issued by two counters. The example number beside each counter shows what a number from that counter looks like. Returns are numbered separately from bills.

Edge cases

  • Another owner saved first. If someone changed the setup while you were reviewing, Turn on shows Another change was saved first. The latest details are loaded. and the screen reloads. Check the new status and try again.
  • The save failed. You see Could not turn this on. Nothing was changed. Nothing was switched on; reopen the screen and try again.
  • Status is "Waiting for the move to finish". The store is not ready yet; the screen offers no action. The Review and turn on button is not shown. Come back later and check the status again.
  • Status is "In use". The button is gone, and the screen has no way to turn the scheme off.
  • Codes are permanent. The review warns that assigned counter codes cannot be changed later, so confirm counter names and the prefix before you turn it on.

Troubleshooting

What you seeWhy, and what to do
No Invoice numbers per counter button on Counter settingsYou are not signed in as the store owner. Ask the store owner to open it.
Access RestrictedYour role is not the store owner. Same fix.
No Review and turn on buttonThe status is not Ready to turn on. Read the status line and the Why this cannot be turned on yet list; each message is explained above.
Store prefix reads Not available yetNo usable prefix is set. Update it in your store branding settings and reopen this screen.
A counter shows Not assigned yet and Not available yetThat counter has no code yet, so the server has no example number for it.
Another change was saved first. The latest details are loaded. The page was out of date. Review the refreshed details and select Review and turn on again.
