Appointment Bills
Open the original appointment bill at the counter, check its deposit and collect the remaining balance.
Open the appointment's bill before collecting money. Creating that bill does not take payment or add a deposit. An appointment with no deposit still has no deposit after you open its bill.
Screen: Open /pos and open More on the left rail and select Today’s appointments, or use
/pos/appointments. This entry is available on a counter with appointment features.
Bill a checked-in appointment
Find the appointment
Check the customer, service, appointment status and payment details. For a checked-in or in-progress appointment, select Bill for followed by the customer's name (for example Bill for Asha) on its row in Today's appointments. From appointment details, select Bill at counter. Cancelled and no-show appointments do not offer new bill creation.
Open the linked bill
An existing linked bill opens directly. If there is no bill, Bill at counter creates or retrieves the appointment's original bill and opens it. Repeating the action retrieves the same bill; do not make a separate counter sale for the same service.
Check the amount to collect
Review the original bill amount (Bill total), the recorded deposit (Already paid) and the remaining balance. The money block lists Bill total, Already paid and a last line that reads Balance to pay while money is still due and Received once the bill is settled. A missing payment amount is shown as unavailable, rather than assumed to be zero. Collect only the verified balance using the bill's available Cash, UPI, Card or Split controls and their confirmation steps. Resolve any earlier payment attempt before choosing another method. Check the final receipt and the payments already received.
How UPI, card and split are recorded on an appointment bill. An appointment bill is a booking order, and the server has no gateway QR or card-terminal collection for it. So on Today's appointments and the appointment bill, the Pay by UPI and Card buttons never start a QR attempt or a terminal transaction:
- Pay by UPI opens the manual UPI sheet (the same one described in Take manual UPI). It is greyed out when the counter has no UPI ID set up; ask the owner to add one in Counter settings.
- Card opens the manual card sheet (see Record a card payment taken elsewhere): take the payment on your card machine, then record it.
- Split payment takes cash plus manual UPI. Enter the cash amount; the UPI remainder is recorded on the manual UPI sheet.
- Cash works as before.
Each of these is recorded against the same bill, for the Balance to pay only. If a customer's UPI or card payment shows nothing on the bill afterwards, check the bank or card-machine receipt before trying again.
When a split payment is refused. If the counter refuses a split payment for a plain reason that can be named (for example an item on the bill is out of stock), the sheet closes and the page shows that one message above the bill. Fix the cause and start the split again. If the failure is not one of those named reasons (for example a dropped connection), the sheet stays open and its own check again message is the only message shown; check the bill's payments before taking the money again. You never see both messages at once.
What the bill page looks like on a phone or tablet. On a screen 900 px wide or narrower, every line of the bill shows on one page that you scroll, and there is no page counter (no 1 of 2) and no Previous or Next for the bill lines. On a wider counter the lines stay paged, two at a time (one at a time in big buttons mode), and the counter appears only when the bill has more lines than fit one page. Turning a tablet sideways past 900 px switches it to the paged layout. A line's Staff · name chip shows a long staff name over at most two lines, ending in an ellipsis; hover over it, or let a screen reader read it, to get the full name. Today's appointments is a quiet outlined button with a ‹ arrow at the very top, above the bill title, instead of sitting among the pay buttons. It is hidden while any sheet is open (add a product, a line, the receipt), so select Back to bill first to see it again.
Why is there no page counter on my phone? Phones and tablets up to 900 px wide show the whole bill on one page, so there is nothing to page. Why did Today's appointments leave the pay buttons? It is navigation, not a payment, so it moved above the title.
Changing a service's price from the bill
Screen: the appointment bill on the counter, beside the add-product and payment actions.
The bill carries a Service price · owner link. It opens /appointments/offerings, the
appointment services page where an owner edits what a service costs.
- Owner and manager PINs see only the link.
- Every other role, such as a cashier, also sees the line An owner signs in to review service prices. Changes apply to future bookings; this bill keeps its booked price. under the link. An owner or manager does not see this line, since they are already the person it tells you to find.
- Either way, a price change applies to future bookings only. The bill you have open keeps the price it was booked at, so do not expect a changed service price to alter this bill's Bill total.
Why can't I change the price on the bill? You cannot: the bill is at its booked price. The link only leads to the services page, and the line shown to a cashier says an owner reviews service prices. Collect the booked balance, and ask an owner to review the service price for future bookings.
What the counter's appointments list shows
On the counter's Today's appointments list, each row that is ready to bill and still owes money carries one main (filled) button, Bill for and the customer's name (paid rows differ, see below). Select it to open that appointment's bill. Rows that are not ready to bill show their own action instead: Check in is a filled button too. The list opens straight on the appointments with no extra Counter heading above them, its column is no wider than 900 px, and New walk-in at the foot of the list is filled as well (see Create a walk-in appointment).
Already-paid bookings read Paid and View bill. A checked-in, in-service or finished booking whose bill exists and owes nothing shows a small Paid pill on its row (under the service line). On a checked-in or in-service row the button reads View bill instead of Bill for and the customer's name. A finished booking keeps the plain Open button on the row; select it, and in the details panel the bill button reads View bill (an unpaid booking's reads Bill at counter). View bill is not a filled button; it opens the settled appointment bill, so you cannot start a second charge from it. The pill is worked out from the bill having no balance left, not from a stored flag. Why does my row still say Bill for? Either no bill exists yet, or the bill still shows an amount due (a due amount is shown on the row); once the balance reaches zero the row switches to Paid and View bill. Why does a finished booking show Paid but no View bill on its row? Select Open; View bill is in its details panel. A finished booking that still owes money shows Bill for on its row as before.
Not billed yet. A booking with no bill opened yet (and not cancelled or no-show) shows Not billed yet on its row, and in the details panel, where an amount due would appear. That is different from a bill that owes nothing. Select Bill for and the customer's name to open its bill; a figure replaces the label once the bill exists. Why does the row show Not billed yet instead of an amount? The counter has no bill amount for it yet.
The list holds no sale controls until a bill exists, so the screen stays uncluttered:
- The four helper buttons under the list (item details, loyalty, voice entry and the card-machine entry) act on the current bill, so they appear only once the bill has at least one item.
- See bill (or See bill · amount once there is a total) is the button that opens the bill sheet. It also appears only once the bill has items. If you do not see it, no bill is open yet: select Bill for on a row first.
The appointment bill's side panel has a Summary heading above three labelled rows: Number (the bill number), Customer (the customer's name) and Status (Balance to pay while money is due, Received once paid). The bill amount is shown once, as Bill total in the money block beside the payment actions; the summary does not repeat it as a second large Total row. Each value says what it is, instead of bare lines.
How many bookings show, and the pager. The list shows as many bookings as fit the counter's height (three until the screen has been measured, and never fewer than one), so a taller window shows more rows and resizing the window re-fits them. The pager sits directly under the last row: Previous, a page count such as 1 of 3, and Next. Previous appears only from page 2; on page 1 only Next is there. The page count appears only when the bookings themselves run to more than one page; when every booking fits on one page there is no 1 of 2 to puzzle over, and only Next is drawn. The final page is not a booking page: it is the counter's catalogue, reached by selecting Next past the last page of bookings (the count, when shown, includes it). If you are on the catalogue page and resize the window, you stay on the catalogue.
Why is there no Previous button, or no page count? You are on page 1 of the list, or every booking fits on one page: Next still leads on to the catalogue. Why do I see fewer bookings than I expected? Only the rows that fit are shown; select Next for the rest.
Why is there no See bill button on the appointments list? No bill is open on this counter yet. Select Bill for and the customer's name on an appointment row; See bill appears once the bill has an item.
Cancel a booking at the counter
Screen: Today's appointments, select a booked appointment's row (button Open), then Cancel appointment in the details panel. Cancel appointment, Reschedule and Did not attend are offered only while the appointment is Booked; each is disabled when the counter is locked or busy, or when your sign-in is not allowed to make that change.
Open the cancel confirmation
Select Cancel appointment. A confirmation panel shows the customer, the service and one line about the deposit, with the buttons Cancel appointment and Keep appointment.
Read the deposit line before confirming
The line follows the store's cancellation window, not the Keep the deposit / Refund the deposit choice (that choice is for no-shows only). One of these shows:
| Line | When |
|---|---|
| Cancelled more than N h before the slot: the deposit of AMOUNT is refunded. | Outside the window, and a deposit was paid. |
| Cancelled more than N h before the slot: any deposit is refunded. | Outside the window, and no paid deposit is on record. |
| Cancelled within N h of the slot: the deposit of AMOUNT is kept. | Inside the window, and the rule keeps a deposit. |
| Cancelled within N h of the slot: no deposit is kept. | Inside the window, and the rule keeps nothing. |
| Deposit follows your cancellation window. The Refund or Keep choice applies to no-shows only. | The counter was not given the window rule. Nothing is promised either way. |
N is the store's Cancellation window (hrs), set by the owner in the Appointments settings.
Confirm and hand back cash if told to
Select Cancel appointment in the panel (or Keep appointment to leave the booking as it was). When the server reports a cash amount to hand back (a deposit taken at this counter that is refunded because the cancel is outside the window), the details panel then shows Give AMOUNT back to the customer. Hand that amount over. The line stays only while that appointment's details are open: it is not shown again after you reload the list or open another appointment, so hand the money back before you leave the panel.
Did not attend is separate: its confirmation reads Mark as not attended. The current deposit rule applies; no refund is promised. and follows the owner's No-show deposits choice. See Cancelling at the counter follows the cancellation window.
Why is there no Cancel appointment button? The appointment is not Booked (checked-in, finished, cancelled and did-not-attend bookings cannot be cancelled here), your sign-in cannot cancel, or the counter is locked or the Appointments add-on has lapsed. Why does the cancel line not name an amount? The server did not send the window rule, or no paid deposit is on record; the neutral line is shown and the cancellation still goes through. Why did the counter show no Give back line although I expected a refund? The line appears only when the server reports a cash amount to hand back; check the booking's payment record for the refund.
Add products to an appointment bill
Screen: the appointment bill on the counter, Add a product beside the payment actions.
- Select Add a product. The products sheet opens with the note Products are added to this bill.
- Pick products from the tiles. Products that can be added are listed first; tiles marked Product not available (stock tracked and none left) follow them, and a tile with stock shows how many are left.
- Select Back to bill to return to the bill. It is the single filled button in the footer on the line, products and receipt sheets of the appointment bill, and while the products sheet is open it replaces the bill's pay buttons there.
What the products sheet looks like, especially on a phone. Adding a product is a catalogue mode of its own: the bill's title line (bill number, customer, phone), the Summary panel and the pay buttons are hidden, the product search field is already open, and the product tiles sit in two columns, so several tiles show before you scroll. Before you open it, Staff on this bill and Add a product sit side by side on one row, each half the width (Add a product shows only while the bill is still unpaid, and a lone button takes the full row). If you cannot find the pay buttons while adding a product, that is expected: select Back to bill and they return.
The sheet always opens at the top, even if you had scrolled down the bill first, so its title and Back to bill are in view. On a screen narrower than 901 px the products sheet is also given a fixed height, so the page buttons at the foot of the tile grid stay on screen instead of being pushed below it. Why can't I add a product? It is listed below the available ones as Product not available, or the Appointments add-on has lapsed, which pauses new products (New products and staff or quantity edits are paused.).
Chair queue wait times
Screen: Chair queue (from the walk-in screen or Today's appointments). Each waiting customer reads, for example, 2 in line · 35 min waiting. A wait of an hour or more reads in hours and minutes, for example 9 h 54 min waiting, instead of a long minute count. When nobody has been started yet, the In service column shows No one is in service yet. rather than an empty gap. If a wait looks too long, the customer was checked in earlier and Start service has not been selected.
A waiting customer whose booking's order is already paid shows a small Paid badge on their row. The badge is only a label: the booking's status is not changed automatically, so the row's buttons work as before and you still move the customer through the queue yourself. Why is there no Paid badge? The queue shows it only when it reports the booking as paid; open the appointment's bill to check what has been collected.
Open the bill from the appointment in Admin
Screen: in the admin panel open Appointments and select an appointment to open its detail panel.
- Under Contact, View customer opens the customer's record. It appears only when the booking is linked to a customer record; a guest booking has no link.
- Under the payment details, Open bill opens the appointment's bill on the Orders detail screen. It appears once the appointment has a bill.
- Bill at counter is shown to the store owner only. When the appointment already has a bill it opens that same bill on the POS counter. When it has none yet and a payment can be collected, it creates the bill once and then opens it, so pressing it again never makes a second sale. If it fails you see We could not open this booking at the counter. Try again. and nothing is opened.
- In the other direction, an order that came from an appointment shows View appointment on its order detail (see Managing Orders).
Why is there no Bill at counter button? You are not signed in as the store owner, or the admin could not tell which store you are in. Staff can still use Open bill and bill from the counter's Today's appointments.
When a booked customer does not arrive, the deposit follows the store's no-show rule; see No-show deposits.
Create a walk-in appointment
Screen: open /pos/walk-in, titled New walk-in, on a counter with active Appointments.
Set up the service and its available staff slots in Appointments & Bookings
first. An unlocked counter with current POS access is required; this flow needs internet.
- Enter Customer phone. As soon as a complete valid 10-digit mobile number is typed, POS looks the customer up by itself, and the Check customer button goes away; it is shown only while no lookup has run (for example after a pause or a failed lookup). An existing matching customer is selected; for a new customer, enter Customer name.
- Under Choose a service, pick an available service. When the store offers only one service it is already selected. When only one slot is open for the service, the staff step is skipped: the button reads Continue and takes you straight to the review. With two or more open slots the button reads Choose staff; select a slot there (where no person is assigned the label can be No staff assignment) and review the displayed time.
- Review Start this appointment?, Service total, Service performer and Cashier taking payment. Select Start appointment once.
- After Appointment created, POS checks the appointment into the queue when needed and the screen reads Customer checked in. To collect payment now, select Start and bill: it opens the appointment's bill on the counter. To start service first, open Chair queue (now a secondary button) or Today's appointments. Start and bill is disabled while the counter is locked or not bound, and for an order taker. If the bill cannot be opened you see The bill could not be opened. The customer is checked in; open Today and tap Bill. and nothing is lost.
Why can't I finish a walk-in? No services are available. Ask the owner to add a service. needs service setup; No staff slots are available. Choose another service or try again later. needs a different available slot. If a slot was taken, the customer and service stay selected while you choose another. If creation is uncertain, use Check existing request rather than making a second booking. If booked but check-in failed, retry check-in or open Today; keep the existing appointment. A confirmed appointment on Today's appointments can be checked in even when it still shows an amount due (for example a deposit balance); the due stays on the row and on the bill, so the payment is not lost. Selecting the row itself opens the appointment details, where reschedule, cancel and no-show remain. When Appointments are absent, a counter service bill creates no booking. Service packages require Appointments and must not be treated as a standalone feature without it. For selling and redeeming a package at the counter, see Service Packages at the Counter.
Book a future or walk-in appointment in Admin
The counter's New walk-in screen above only books a customer who is standing at the counter now. To book a future slot, or to record a walk-in and a contact in one step, an admin who can open Appointments uses Sales & Orders → Appointments in Admin. Two independent switches in the New appointment dialog decide how the booking is recorded; the full steps are in Create a quick appointment with the compact composer.
| Control | What it does | Starts on |
|---|---|---|
| Customer is here now (walk-in) | Only records the booking's source as Walk-in instead of Booked by staff. It does not change which customer fields you see. | On from the In person button; off from New booking and from the empty-state New appointment button. |
| Add contact details | Only decides whether you search Search contacts by name, phone, or email and pick an existing customer (off), or type Contact name, Contact phone and Contact email (optional) for a new one (on). | On from In person; off from New booking and the empty-state button. |
The two switches combine freely. A walk-in who is already a contact is Customer is here now (walk-in) on, Add contact details off, then pick the customer from the results. With Add contact details off you must select a customer from the results; typing a search is not enough.
The full page at /appointments/new (the dialog's Full form link) words the contact choice the other way round:
Use an existing contact is on by default, and turning it off shows the name, phone and email boxes. Its
Customer is here now (walk-in) switch starts off. So Add contact details (dialog) on means Use an existing
contact (full page) off.
Deposits on these bookings are a percentage by default. The store-wide Default deposit (%) in the appointment booking rules is a percent of the service price, and a service can override it with its own Deposit policy (Deposit type: No deposit, Percentage of total, Fixed amount or Full prepayment). The deposit already paid appears on the booking's bill as Already paid, and the counter collects only the balance (see Bill a checked-in appointment). What happens to a deposit when the customer does not arrive is the owner's rule in No-show deposits.
Access and troubleshooting
| What happens | What to do |
|---|---|
| Bill at counter is disabled | Use a bound, unlocked counter with a cashier allowed to take payment. Order takers cannot create payment bills. |
| Appointments access has lapsed | New bill creation is unavailable. An existing linked booking bill remains accessible for settlement, subject to the current counter's payment authority. |
| The appointment is cancelled or marked no-show | Use its appointment lifecycle and deposit records; do not create a new service sale to bypass its status. |
| Bill creation fails | Read the error and retry the same appointment. Repeating the action does not call for a second sale. |
| The device or cashier changed during the request | Reopen the appointment in the current counter session before continuing. |
| The remaining balance cannot be verified | Reload the original bill and check the payment records before receiving money. |
